The Asset Types & Fields setting allows your organization to customize the asset types and the fields associated with the type to help capture key data points for the asset. There is a "Default" Fields type in the system which contains standard fields that apply to all/most assets but you can create custom types and build custom fields to capture pertinent information for the asset type.


Adding an Asset Type

To add a new Asset Type, click on the orange NEW ASSET TYPE in the right corner of the screen to open the edit dialog.



Enter a Name and Description. Preserve the edit by clicking the orange SAVE button in the bottom right corner of the edit window.

 


Asset Type Edit Options

With the new type saved, scroll to the bottom of the type list and hover over the row to access the edit tools to further customize the new type.


The asset type can be copied (first icon on the left), sub-types added underneath (+ icon), edited (pencil icon), or deleted (trash can icon).


Copy a Type

Clicking on the copy icon will open a dialog box to name the new asset type. Preserve the edit by clicking the orange SAVE button in the bottom right corner of the edit window. The copy includes the fields associated with the type that was duplicated, but it does not include any associated sub-types.


Add Sub-Types

Adding a sub-type is the same process as adding the initial Asset type but will show as a hierarchical item or as a parent/child relationship in the Assets Type list. A sample of how this type of entry will look in the list is shown below.


Add Properties/Fields to a Type

To add properties (aka fields) associated with the asset type, click on the pencil option to build out or update the schema for the asset type. Select a data type from the available options on the left and drag and drop it over to the right.


Once you drop the field, a dialog will open to allow the field properties to be configured. The "Display on List" checkbox controls whether the field shows once you click on the gear from the asset module for the specific asset type. The "Mandatory Field" checkbox is pretty self-explanatory, if checked, data must be entered. "Field Label" is the name of the field as it will appear when adding/editing an asset in the Assets Module. This field label will also show when downloading a template to create an import file.

Depending on the field type, you may see other properties that need to be configured. Below is the "Dropdown" field type. You will need to define the choices that are available to the end-user for data entry. Colors can be assigned to the choices as well by clicking in the Color box column to open the color picker.  To add more choices, click on the "Add More Choices" link. Preserve the edit by clicking the orange DONE button in the bottom right corner of the edit window.


Edit Properties/Fields

To edit a property/field associated with the asset type, click on the pencil option; then click on the custom field that you want to edit to open the field properties pop-up. From there you can edit the available properties, then click DONE to preserve changes.


Delete an Asset Type

To remove an asset type, click on the trashcan option. You will encounter multiple confirmations asking if you are sure you want to delete. If you are sure, click the YES button to confirm.
